Privacy policy

What we collect, why, for how long — and, above all, what we don't do with your data.

01 Our commitment

Training talent requires a relationship of trust. We handle your data with the same rigour as our programmes: only what is necessary, for a clear purpose, for a set period.

This policy applies to the acerfi.net website and the forms it hosts. It is written in accordance with Cameroonian law and, for people residing in the European Union, the principles of Regulation (EU) 2016/679 (GDPR).

03 Data we collect

We collect the data you send us — through our forms or by writing to us — and a measure of visits to the website. No data is bought.

  • Contact form — full name, email address, phone (optional), organisation (optional), subject and message.
  • Enrolment form — identity, email address, phone, date of birth, level of qualification, desired course and format, motivation.
  • Enrolment of a minor (Smart Vacances, Smart Kids) — identity of the parent or guardian, the child's first name, date of birth and school level, stated expectations.
  • Speculative or job application — identity, contact details, location, LinkedIn profile (optional), cover message and CV.
  • Conversations — the messages you exchange with the website's assistant, on WhatsApp or by email, and the contact details you give in them.
  • Visit measurement — the page viewed, the date, the IP address, the browser, the type of device, the page you came from, and a random identifier kept by your browser to count visitors.

04 Purposes and legal bases

  • Answering your request for information and directing you to the right person, including through the website's assistant — basis: your request and your consent.
  • Processing an enrolment, drawing up the training agreement and providing academic follow-up — basis: performance of the contract or pre-contractual steps.
  • Reviewing an application for a position within the group — basis: pre-contractual steps.
  • Measuring visits to the website in order to improve it — basis: legitimate interest.
  • Meeting our administrative and accounting obligations, in particular towards MINEFOP — basis: legal obligation.

05 What we don't do

This section matters as much as the ones before it. On acerfi.net:

  • No third-party audience measurement tool is installed — no Google Analytics or equivalent: visits are measured by our own servers.
  • No third-party maps, no advertising pixels, no tracking social media buttons.
  • No advertising or profiling cookies are placed on your device.
  • Your data is never sold, rented or exchanged for commercial purposes.

06 Recipients

Your data is processed by the ACERFI teams authorised to see it: reception and guidance, academic management, and human resources for applications.

It passes through the technical providers acting on our behalf: the MAYA platform, which hosts the website and manages our exchanges; Hostinger, which rents the server; our business email service; WhatsApp (Meta) when you write to us on that channel; and OpenAI, which receives the text of messages sent to the assistant in order to draft the reply. Some of these providers are based outside Cameroon.

07 Retention periods

  • Contact requests: three (3) years from the last exchange.
  • Enrolment and training files: the length of the training, then kept for issuing certificates and meeting administrative obligations.
  • Unsuccessful applications: two (2) years from the last exchange, unless you ask for earlier deletion.
  • Accounting records: the applicable legal retention period.

08 Minors' data

Programmes for children and teenagers can only be accessed through a parent or legal representative, who fills in the form and gives consent.

Data about the child is limited to what is needed to organise teaching: first name, date of birth, school level. No sensitive data is requested.

09 Security

Exchanges with the website are encrypted (HTTPS). Access to data is restricted to authorised people and protected by authentication. Our forms include protection against automated submissions.

No system offers an absolute guarantee: if an incident may affect your data, we will inform you as soon as possible.

10 Your rights

You may at any time exercise your rights of access, rectification, erasure, restriction and objection regarding your data, as well as the right to data portability and the right to withdraw your consent.

To exercise these rights, write to [email protected] stating the purpose of your request. We reply within one (1) month at most. Proof of identity may be requested in case of reasonable doubt.

11 Cookies and trackers

This website places no audience measurement, advertising or profiling cookies.

To count visits, your browser keeps a random identifier (maya_visitor_id) and, for the length of your visit, a session identifier (maya_session_id). They contain neither your name nor your contact details and are sent only to our servers. Other technical storage is used only for the website to work, such as the position of the chat bubble. You can delete them at any time in your browser settings.

12 Changes to this policy

This policy may be adjusted to reflect legal or technical changes. The date of the last update is shown at the bottom of the page. Version in force: 17 September 2026.
